A vacation home is one of your most valuable assets, so hiring a reputable company to protect that investment is a decision no homeowner should take lightly. Unlike many property management firms that rely on independent contractors that homeowners have no knowledge of, VillaDirect employs a dedicated in-house property care team. Our team is comprised of professional housekeeping, inspectors, pool cleaners, landscapers and field service technicians, all of whom share one common goal: managing your home and keeping it in perfect order for you, your family and your rental guests.
VillaDirect also has a physical office where our Orlando property services team is based, close to all of the communities we manage homes in. You can even come and meet our staff (if you wish) while you’re in town and we provide you with a dedicated Client Relations team member to meet with you and go over admin issues and discuss the goals for your home and where we can make improvements.
Personal Client Relations Representative
It’s our priority to keep you informed regarding your vacation property. This is why each VillaDirect homeowner has a personal Client Relations representative, who serves as their connection to all of VillaDirect’s various departments. Whether you have a question about home care, billing, reservations, or anything else, your Client Relations representative will be ready and waiting to assist you.
VillaDirect employs an in-house team of reservations specialists. Using the latest software tools, our call center operates 7 days per week, and rotates calls between the different agents based on availability, language and other criteria. The team regularly visit new homes as they’re added to our portfolio of properties so that they are familiar with the amenities, layout and design of each home we offer – making it more likely to close the sale and get you more reservations.
One of the most important aspects of bringing guests back to your home is ensuring they have a fantastic time during their stay. For this reason one of the Orlando property services that all our owners receive; is looking after guests while staying at your home, this service is delivered by our Guest Service Team that rival many upscale resorts.
On departure of each guest party, our housekeeping staff enters your home and performs a thorough clean of the entire property. The linens in all bedrooms are washed and/or replenished, and the bathrooms, kitchen and living areas are dusted, wiped down and vacuumed. The cleaning staff then checks each room to ensure that no personal items were left behind, documents any forgotten items and returns them to our Guest Services office for pick-up.
Once your home has met our detailed specifications for cleanliness, we perform a walk-through, to make sure all doors and windows are locked and all necessary appliances are safely shut off.
When guests love your home, they come back year after year, and that translates to higher rental income for you. The best way to ensure return guests to your rental property is to deliver a 5-star experience from the moment they arrive. That’s why VillaDirect’s home inspection team thoroughly checks and stages properties within 48 hours prior to guest arrival. On days with same-day turnaround (one party arrives on the same day another leaves), inspectors typically arrive within 30 minutes of the cleaning team’s departure.
Our team inspects each bedroom to ensure they are clean and ready for arriving guests. They check the bathrooms and showers, living and dining areas, and review the pool/deck area to make sure that it has been cleaned and that the pool is free of leaves or debris. The home is then locked and left ready for the next arriving party.
VillaDirect has a team of pool service technicians who maintain the pools year round. We learned early in our business that sub-contracting pool services led to complaints from guests, and from owners. So we brought all pool services in-house, and employed certified VillaDirect technicians to service your pool, every 5-7 days based on usage.
Our sophisticated software keeps track of which pools have been cleaned so that no pool goes un-serviced. As part of the regular services, technicians check chemical levels, pH balance, clean filters, wash the pool deck, check that all pool equipment is in working order, and brush the inside of your pool. All of this ensures that your pool and spa water will be clean, clear and in working order when you or your guests arrive.
When something goes wrong inside your vacation home you need someone who can act fast before the issue worsens or you lose a paying guest. VillaDirect prides itself on providing peace of mind to our homeowners, which is why we employ a team of experienced and skilled maintenance personnel to perform the day-to-day repairs and maintenance needed to keep your home in tip-top shape. Many of our basic maintenance services, like replacing batteries and most light bulbs, are included in our fees, reducing the cost to you.
If there’s something that our team can’t handle, we have a list of approved contractors and equipment suppliers (for items that may need to be replaced or installed by a licensed contractor) that we can call on to quickly provide a repair or replacement.
Landscaping and Mowing
When it comes to renting your vacation home, presentation is everything, so a positive first impression is crucial. If your HOA doesn’t provide landscaping services for you (most do), then our landscapers can visit each home on a weekly basis to perform services like mowing and edging. This ensures that there is never any overgrowth on your property, and that guests are impressed from the moment they pull up to your home. For a small fee, we can also provide tree trimming and irrigation system maintenance.
Keeping your home ready for guests means keeping pests out. We understand that a pest infestation can mean lost income to our homeowners, which is why we provide quarterly pest control services for a small fee, conveniently spread across your monthly statements. We work with nationally respected and licensed vendors to treat the inside and outside of your home at least four times a year, and if for any reason your home needs additional treatment, it is included at no extra cost to you.
If your property is located in a community which provides pest control via your HOA, we work with them to ensure your home is fully protected and that services are performed in a manner that is convenient to you and your guests.
Every month, the company issues clear, concise and accurate statements with a breakdown of your income and expenses. The company also issues all due payments to owners at the same time. Statements comply with GAAP regulations and recommendations for ease of tax preparation. VillaDirect also provides all necessary year end statements.
In addition, the company has a fraud protection system in place to protect owners from fraudulent payments by guests. In the event that a guest credit card is fraudulent, the Company covers the cost, leaving you with the rental income.
All credit card charges/fees are covered by the company in their reservation with the guest. There is no pass-through to the owner, so the guest pays all of the credit card fees.
VillaDirect offers comprehensive property management services, including the management of utilities and other costs associated with running your home. As one of our owner services, our accounting department establishes a rolling expense account, supplemented by your rental income, through which your utility bills are paid. All expenses paid are shown on your detailed monthly statement, so you know exactly where your money is going. VillaDirect deals with the day-to-day responsibilities of operating your home, so that you don’t have to worry.
